Lead Time Requirements:
-
Adhering to lead-time requirements ensures we have the required resources for your event. We can rent equipment, procure specimens, and cast and train SPs, hire nurses, procure specimens, etc., before your event. Not complying with these requirements may cause a delay or the inability to get the resources you need, which may lead to the cancellation of your event. During the intake meeting, we will inform you of all deadlines related to your specific event.
Please review the lead time requirements below:
8 weeks - All new requests (cadaveric surgical events, finalized hi-fi simulation & SP cases).
6 weeks - Recurring events.
4 weeks - Requests for SP modeling events & ultrasound models.
*Please note that lead time requirements are exclusive of Northwestern University holidays.

Cancellation Policy

If you need to cancel or reschedule your event please email your cancellation request to simed@northwestern.edu as soon as possible. Refer to the Northwestern Simulation Policies for GME Course Curricula Accepting McGaw Funding for more information.
Advance Notice
All cancellations must be received in writing more than five business days before the scheduled event. These cancellations will not incur any penalties and are eligible to reschedule with full services (for curricula involving cadavers, we require eight weeks' notice).
Short Notice
Cancellations received more than five business days before the scheduled event may reschedule. However, these sessions will lose funding allocated for standardized patients or nurses. If the event is rescheduled, the department hosting the event will be billed for these charges. If the event is not rescheduled, the department hosting the event will lose the funds allocated to the canceled event.
No Show | No Notice
No shows or cancellations received less than five business days before the scheduled event will forfeit all funding for the event and it may not be rescheduled.
